A policy that lives in a shared drive and never gets reviewed is not a functioning policy. Someone at the firm needs to own records management — whether that’s a designated administrator, office manager, or a partner who takes point on compliance.
Responsibilities should include conducting an annual review of the retention schedule, overseeing purge events, maintaining destruction documentation, and issuing legal holds when needed.
Staff training doesn’t need to be extensive, but it does need to cover the basics: which documents belong in the shred console versus recycling, what to do when a matter closes, and who to contact if a legal hold is issued. Inconsistent handling at the staff level is one of the most common places a policy breaks down in practice.
